Bulk Upload

Select a CSV or XML file if you wish to declare by 'Bulk Upload', the uploaded file is processed as an online submission.

The ‘Browse’ button will allow you to locate the file you wish to upload from your computer. Once you locate your file, select the ‘Upload’ button to proceed.

Validation checks are performed during the upload of the file and any errors identified will be displayed on the ‘Review and Submit’ screen annotated by an ‘X’. Make a note of any errors or print off the summary for comparison purposes using ‘Ctrl+P’. You will have the opportunity to either:

  • amend data in your file before re-submitting
  • make an additional declaration of the corrected data at a later date

To avoid re-formatting problems HM Revenue & Customs suggest you open your file in ‘Notepad’ or a similar text editor to make any amendments.

Please note: If your bulk EC Sales List includes call-off stock, you can also submit the call-off stock information electronically via the ECSL ‘bulk upload’ feature as a CSV or XML file.

You must satisfy Call off Stock requirements and additional information will need to be included on your bulk file. The format of the file will also change.

For businesses not involved with Call off Stocks then this format will not change.

Please note – For New Intended Acquirer, the customer’s VAT registration number must comply with the correct country code or the EC Sales List file will be rejected in full. See the New Intended Acquirer help text for more information.

Errors

If an error message appears on the 'Bulk Upload' page your file has been rejected due to a formatting error, please refer to the on screen message to identify the error.

If an uploaded file contains more than one error, only the first error is displayed.

Formatting errors include bad file formats, missing fields and fields not conforming to basic error checking.

The error message is made up of two parts:

  • A descriptive explanation of the error.
  • The line number and file name within that file.

Where additional technical information is available it will be added to the bracketed information following the file name.
